Overview

Approval Flows enable structured, trackable project reviews using customizable multi-stage approval workflows. Designed for Warrant Team Plan users, this feature ensures that projects are thoroughly documented.

Includes:

  • A streamlined process for submitting projects for approval.

  • Notifications and tracking for each stage of the approval journey.

  • Support for both template-driven and custom approval flows.

  • Role-based functionality for project owners and collaborators.

This guide is for project owners and admins managing compliance workflows, and collaborators who are participating in the review process.

Step-by-Step

Follow these steps to submit a project for approval and track its progress:

For Project Owners (Warrant Team Plan Only)

  1. Submit for Approval

    • Open a project and click Submit for Approval.

    • This option is visible only to users on a Team Plan.

  2. Set a Due Date

    • Choose a due date by which all approvals must be completed.

  3. Choose or Create a Board

    • Select a Board to apply approval stages and set approvers

    • Or select Custom to manually add approvers and define the workflow.

  4. Confirm and Submit

    • Review your setup and click Submit.

    • The project now enters the In Review status and flow.

What Happens Next (Admins & Approvers)

  1. View in Review Progress

    • Admins can track the project in the In Review tab.

    • The chat window logs submission activity and approval progress.

  2. Receive Notifications

    • Stage 1 approver receives an in-app and email notification.

    • Upon approval:

      • A message is logged in the chat.

      • The project owner is notified.

      • The next approver is marked as current.

  3. Final Approval

    • Once the last approver completes their review, the project owner is notified of completion.

Only the project owner and admins can edit the project once it is in review.

"Submit for Approval" button not visible

Ensure you are on a Team Plan and are the project owner or an admin.

Notifications not received

Check your email spam folder and in-app Notifications tab. Make sure notifications are enabled in your settings.

Approval flow not progressing

Confirm the current stage approver has taken action. You can view this in the chat window or project details.

Can’t edit project during approval

Only project owners and admins have edit permissions during the approval process.
