OS Getting Started for Admins

Set up your Warrant OS workspace in 15 minutes.

Written by Austin Carroll

Welcome to Warrant OS! Please explore this article for tips on setting up your company and team on the platform.

This guide walks you through the four things you need to configure before your team can start using Warrant:

  1. Company Settings: Tell Warrant about your business

  2. Approval Workflows: Define how content gets reviewed

  3. AI Policies: Choose which regulations to check

  4. Team: Invite your colleagues

💡 Looking for a specific setting? Type its name into the Search settings box in Settings to jump straight to it.

Step 1: Company Settings

Tell Warrant about your business so our AI can give you relevant compliance feedback.

How to get there

  1. Click Settings in the left sidebar

  2. Select Company profile under Company

What to fill in

  • Company Name: Your organization's name

  • Industries: Pick every industry you operate in. This helps us prioritize the right regulations

  • Website URL: Your company website

  • What your company does: Grab this from your About page, it helps our AI understand your business

  • Product types: Choose which product types apply to your business. This limits the product types your team sees in AI Policies and Product Policies. Leave it empty to allow every type that matches your industries.

  • Countries operating in: We'll show you the right regulators based on where you do business

  • States Operating In (US): Select all states where you operate. Use 'Select All' if you're in all 50 states

  • Cities operating in (optional): Type a city and press Enter to surface city-specific regulations in your scans

⚠️ State-level rules matter. Insurance, securities, and consumer protection laws vary by state.

Brand guidelines have their own home now. Head to the Brand Portal in the left sidebar of your workspace to upload your brand standards as a PDF, then turn on brand checking from Settings > Compliance > Review Settings so every scan also catches off-brand content, not just compliance issues.

The page saves automatically as you fill it in.

Step 2: Approval Workflows

Define how content moves through review before it can be used. No more email chains or lost approvals, everything is tracked in one place.

How to get there

  1. Click Settings in the left sidebar

  2. Under Company, select Approvals

Turn on approvals

Two switches control what needs review:

  • Require Approval for Assets: team members must submit assets for approval before they can be published

  • Require Approval for Disclosures & Products: disclosures and products must go through an approval workflow before being marked as approved. When this is off, they're auto-approved on creation or submission.

Set your approval trigger criteria

Choose which risk levels actually trigger a mandatory approval workflow. Anything that doesn't match is auto-approved:

Setting

What happens

High Risk Flags Only

Only assets flagged with High Risk issues require manual approval

High & Medium Risk Flags

Assets with High or Medium risk issues require manual approval

Any Risk Flag

Any asset with identified risk requires manual approval

Auto-approve above a score

Assets scoring at or above a threshold you set are auto-approved, everything else needs manual approval

All Assets (Manual)

Every asset requires manual approval, regardless of risk flags

If you also use Social, Social posts can follow their own trigger, or you can leave that setting on Inherit from assets to apply the same criteria above to posts too.

⚠️ For FINRA-regulated companies: We recommend requiring review for all assets since a licensed principal must review marketing materials.

Create an approval flow

Under Approval Flows, click + Add Flow.

  1. Name it clearly (e.g., 'Legal Review')

  2. Add a description so your team knows when to use it (e.g., 'Always' or 'When testing')

  3. Add your first stage:

    • Give it a name, or keep the default 'Review'

    • Add the approvers, individual people or a Group. For a Group, set its Group quorum to Any member or All members

    • Set the Requirement to Any One (OR) (one approver clears the stage) or Everyone (AND) (everyone in the stage must sign off before it moves on)

  4. Add more stages if needed. By default, each stage is set to Runs after previous stage, so it only opens up once the stage before it is complete. Choose Runs together with previous stage instead to have both stages reviewed at the same time. This lets you combine an Everyone (AND) stage with an Any One (OR) stage in the same flow, for example.

  5. Click Create Flow

→ You can create multiple flows for different content types: quick review for social, full review for campaigns.

Set expiration rules

Under Expiration Settings:

  1. Toggle on Enable expiration dates so assets get a default expiration date after upload

  2. Set Default Expiration (days), for example 365

  3. Choose a Default expiration approval flow: pick one of your approval flows below to trigger automatically when a file expires, or leave it on 'No Re-approval Required'

Never worry about outdated content staying live, Warrant tracks it for you.

Step 3: AI Policies

Choose which regulations and policies Warrant checks your content against. Over 1,500 rules from federal regulators, state agencies, and platforms, you pick what applies to you.

How to get there

  1. Click Settings in the left sidebar

  2. Under Compliance category, you'll find AI Policies

Select your regulators

In the table, enable the federal regulators and platform policies that apply to your business and their severity levels.

Don't enable everything, more rules means more noise. Focus on what actually applies to your business.

For each policy, assign a risk level:

Level

Use for

High

Critical violations that could mean fines or lawsuits

Medium

Important rules you want to catch (recommended for most)

Low

Nice to have checks, company specific preferences

💡 Don't enable everything, more rules means more noise. Focus on what actually applies to your business.

Turn on and tune scanning

Head to Settings > Compliance > Review Settings to control how the AI scanner behaves:

  • Enable AI compliance scanning: the master switch. When on, uploaded content is automatically scanned against your active policies

  • Review sensitivity: a slider from Flexible to Maximum that controls how aggressively the AI flags potential issues. Mild (recommended starting point) flags high and medium confidence issues

  • Show Relevancy Feedback on Flags: when on, the thumbs up and down reviewers leave on a flag (and any dismissal reason) is visible to anyone reviewing the asset. When off, that feedback is still recorded, just visible to admins only in the audit trail

  • Brand guidelines sensitivity: tune how strictly brand and style checks flag issues, independently of your compliance sensitivity above

Further down, under Content quality checks, you can also toggle:

  • Spelling check: flags misspelled words and typos (brand names and intentional stylizations are ignored)

  • Grammar check: flags grammatical errors like subject-verb disagreement or run-ons (intentional marketing fragments and headlines are ignored)

  • Copyright images check: flags imagery that may be unlicensed third-party material, like watermarks, stock photo overlays, or third-party logos

Check on open work and history

Settings > Compliance > Policy Tasks & Audit Trail is your one stop for compliance housekeeping:

  • Action Items: tasks and recommendations for your policies, you'll see "All caught up!" when there's nothing pending

  • Scan feedback summary: shows how often reviewers marked a policy's flags as relevant or not relevant, which helps the AI cut down on false positives over time. Search or filter by regulator to dig into a specific policy

  • Policy audit trail: a full chronological log of every policy change, who enabled, disabled, or edited a policy, and when. Filter by user, policy, action, or date range, or download it as a CSV

Step 4: Team

Add your colleagues so they can start uploading and reviewing content.

How to get there

  1. Click Settings in the left sidebar and select Members

Add a team member

  1. Click Invite Member

  2. Enter their email address

  3. Choose their Access level

  4. Click Send Invitation

Access level

What they can do

Super Admin / Admin

Everything: settings, billing, team management, all content

Member

Upload, scan, submit for approval, review, comment

Need something more precise, like letting someone review without letting them approve? Add people to Groups right from this dialog, and give those groups (or individual people) Roles under Settings > Members > Roles, so people land with exactly the right access from day one.

💡 Invited someone who hasn't accepted their invitation? You'll see a Pending status next to their name on the Members page. Open the menu on their row and choose Resend Invitation to send it again.

What's next

Share the Getting Started for Users guide with your team so they know how to:

  • Draft content in Studio

  • Upload files and websites

  • Run compliance scans

  • Submit for approval

As an admin, you'll want to....

• Check Approvals → Pending regularly to review submitted content

• Use Search with the 'Expiring Soon' filter to catch content before it lapses

• Refine your Scan settings and policies over time based on what your team actually needs.

You're ready! 🚀

Your workspace is set up. Here's what you've configured:

✓ Company profile and brand guidelines

✓ Approval workflows and expiration rules

✓ Compliance policies and risk levels
