Share a File with a Link

Create a share link to a file, folder or project, see who can open it, and revoke it when you're done.

A share link is a link to a file, folder or project in Warrant that you can paste into an email or chat. It gives people view access to that one item, even if they aren't on its access list. Anyone who opens the link still needs to sign in to Warrant.

Who can create share links

  • Company admins, on any file, folder or project.

  • Anyone with admin access on the specific file, folder or project.

If you don't have admin access on an item, you can't create or see its links. Ask the item's admin or a company admin to create one for you.

Share a file

  1. Open the file.

  2. In the right-hand panel, click the Access tab (the lock icon).

  3. Scroll to the Link section. Optionally, type a name in Link label (optional) so you can tell your links apart later, for example "Agency review".

  4. Click Create link.

  5. Click the copy icon next to the new link. You'll see Link copied to clipboard. Paste it wherever you want to share it.

Links created from a file's Access tab are always view-only.

Share a folder or project

  1. Open the permissions for the item:

    • Folder: in the folder list, open the ... menu on the folder and choose Permissions.

    • Project: open the project and scroll to its Permissions section, or choose Permissions from the project's ... menu in its folder.

  2. Click the Links tab.

  3. Optionally, add a Link label (optional).

  4. Choose Can view or Can comment.

  5. Click Create link, then click the copy icon to copy it.

Whichever option you choose, a share link gives people view access only. To let someone comment, add them to the item's access list instead.

A link to a project also lets people open the files inside that project.

Keep track of your links

Each active link is listed with its label (or Untitled link), how many times it has been opened, when it was created and, if it has one, its expiry date. Links you create in Warrant don't expire on their own. They stay active until you revoke them.

Creating and revoking links is recorded in the item's permissions Audit tab as Share link created and Share link revoked.

What people see when they open a link

  • Not signed in: they see Log in to view this content and a Log in button. After signing in, they can open the link again to go straight to the item.

  • Signed in: Warrant checks the link and opens the file, folder or project.

  • Revoked or invalid link: they see Link unavailable with the message "This link doesn't exist or has been revoked."

  • Expired link: they see "This link has expired."

A share link opens up one item. It doesn't change the person's role, so they still need a role in Warrant that lets them view assets.

Revoke a link

  1. Go back to where you created the link (the file's Access tab, or the Links tab in a folder's or project's permissions).

  2. Click the trash icon next to the link.

The link stops working right away. Revoked links move to a Revoked list below your active links so you have a record of them.

Good to know

  • Share links aren't available for social posts in Reach.

  • To give someone ongoing access instead of a one-off link, add them to the item's access list. See Folders vs. Projects for how folder permissions are inherited.
