Folders: Create and Manage

Create folders and subfolders, rename and move them, control who can see them, and choose how their contents are shown.

Folders are where your files live in Warrant. Use them to build a library structure your team recognizes and to control who can see what. Every file sits in at least one folder, starting from All Assets, the top level of your library. For when to use a folder and when to use a project, see Folders vs. Projects: what's the difference?

Find your folders

Your folders are listed under FOLDERS in the left sidebar. Click a folder to open it. The number next to the folder name shows how many items it holds.

Create a folder

From the sidebar

  1. Hover over the FOLDERS heading in the left sidebar and click the + (New Folder).

  2. In Create a folder, enter a Name.

  3. Under Location, pick the folder to create it in, or leave nothing selected to create it at the top level.

  4. Click Save.

Inside a folder (subfolders)

  1. Open the folder you want the new folder to sit in.

  2. Click New Folder at the top right.

  3. Enter a Folder Name and click Create Folder.

Other ways

  • Drag files from your computer onto a folder page and drop them on the Folders area (Drop here to create a new folder). Name the folder and click Create & Upload to create it and upload the files into it.

  • When you move files, the Move window has a New Folder option so you can create a destination on the spot.

Rename a folder

Open the folder, hover over its name and click the pencil. Type the new name and press Enter. You can also choose Rename from the ... menu on a folder card. All Assets can't be renamed.

Move a folder

  • Drag and drop: drag a folder card onto another folder card (Drop to move here).

  • Move: select one or more folders, click Move in the selection bar, pick the destination folder and click Save Changes.

Everything inside the folder moves with it. Projects move the same way. To move or file individual files, see Move Files Between Folders and Projects.

Star a folder

Click the star next to a folder's name, or on its card, to add it to FAVORITES at the top of your sidebar. Click the star again, or hover over the favorite and click x, to remove it. Favorites are personal to you.

Choose a view

Use the view buttons at the top right of a folder:

  • Grid view: cards grouped into Folders, Projects and Files.

  • List view: a compact table.

  • Kanban view: the folder's projects and files in columns by status: Draft, In Review, Approved, Changes Requested and Expired. Dragging a card into In Review opens Submit for Approval.

Click the sort icon to order items by Date Modified, Name, Size, Due Soonest, Expiring Soon, Submitted (Newest) or Submitted (Oldest).

Search and filter a folder

While you're in a folder, the search bar at the top reads Search within this folder.... It searches that folder and everything beneath it, including subfolders.

Click the filter icon to narrow what you see:

  • Type: Folders, Projects or Files.

  • Status: Approved, In Review, Draft, Changes Requested or Archived.

  • Locations, Tags and Smart Tags.

  • Owner, Folder, Approved By and Approval Flow.

  • Product, Product Level and Channel.

  • File Type: PDF, IMAGE, VIDEO, DOC, SHEET, PPT or HTML.

  • Compliance Scan: above or below a compliance score.

  • Has Website URL, and your company's custom fields if any are set up.

Active filters appear as pills. Remove one from its pill, or click Clear all. For searches across your whole library, and to save a search, see Search.

Folder permissions

By default, everyone on your team can see a folder. To restrict it:

  1. Open the ... menu on the folder card and choose Permissions. To set permissions on several items at once, select them and click Permissions in the selection bar.

  2. Add users or groups and choose their level: Can view, Can comment, Can approve, Can edit or Admin.

Folders, projects and files inside a folder inherit its permissions unless they have their own. Once a folder has its own permissions, only the people and groups listed can access it. The Permissions window also has Links (share links), Audit (a history of permission changes) and Templates tabs.

You need admin access to a folder to manage its permissions; otherwise you'll see Sharing is managed by admins. See Capability Role and Permission Behavior Guide for how access levels work.

Archive a folder

  1. Open the ... menu on the folder card and choose Archive.

  2. Confirm in Archive Folder.

What happens to the contents: archiving a folder also archives everything inside it: its files, its projects and its subfolders, all the way down. A file's archived status applies everywhere, so a file that is also filed in another folder or project is archived there too. Move any files you want to keep active out of the folder first.

To restore a folder, filter its parent folder by Status: Archived, open the archived folder's ... menu and choose Unarchive. Unarchiving restores the folder itself; the files and projects inside stay archived until you unarchive them. Restored files go back to Draft.

Can I delete a folder?

Folders are archived rather than deleted. If you select folders and files together and click Delete in the selection bar, the folders are archived and the files are permanently deleted. Deleting files can't be undone, and by default only admins can delete files.

Who can use it

You need permission to create content to make folders. Users with view-only access can browse folders they have access to but can't create, rename or move them.

Folders in Reach

In Reach (Social), posts are organized into post folders under All Social Posts. They work in a similar way: click New folder to create one, and select posts and use Move to file them.
