A project groups the files that belong to one campaign or request so you can see where the whole campaign stands and send its files for approval together. Not sure whether you need a project or a folder? Read Folders vs. Projects: what's the difference?
Create a project
Click Create New at the top right of any page and choose New Project.
In Create a project, enter a Name (for example, Q1 Marketing Campaign).
Under Location, pick the folder the project should sit in. Use Search folders to find one quickly. If you don't pick a folder, the project goes at the top level of your library.
Click Create Project. The new project opens so you can start adding files.
Other ways to start a project:
While uploading: in the upload window, choose Create New Project to put the files into a new project. You'll set a name and select a folder.
By dragging files in: drag files from your computer onto a folder page. Drop them on the Projects area (Drop here to create a new project), name the project and click Create & Upload.
From a file: open a file, click the ... menu at the top and choose Add to project, then Create New Project.
Add and remove files
On the project page, click Add File and choose:
Upload New to upload files from your computer.
Select from Library to add files that are already in Warrant. Adding a file to a project doesn't move it out of its folder.
Website URL to capture a web page as a file in the project.
You can also drag a file onto a project card in a folder (Drop to add to project), or use Move on selected files and check the project. A file can belong to several projects.
To take a file out of a project, select it, click Move, uncheck the project and click Save Changes. The file stays in its folders. You can also remove a project from the Associations section of the file's Info tab. See Move Files Between Folders and Projects for more.
The project page
At the top you'll see the project name, its status, the folder it's in, who created it, how many files it has and when it was last updated.
Status is worked out from the files in the project. It reads Approved only when every file is approved. Otherwise it shows Changes Requested if any file needs changes, In Review if any file is in review, In Progress if some files are approved, or Draft. Archived files don't count.
Under the name, a breakdown shows how many files are in each status, for example 3 Approved · 2 In Review.
Click the star to add the project to Favorites in your sidebar, and the pencil to rename it.
Click the Files heading to switch between a single row of files and a grid.
Use the search bar at the top of the page to filter the project's files.
Project details
In the Project Details card, click Edit Details to fill in:
Description
Key Dates: Due Date and Publish Date
Targeting: Channel and Audience
Geography: the states or territories the campaign runs in
Products
Live URL: where the campaign is published
Tags
Changes save automatically. Click Done Editing when you're finished.
How details affect scans: the project's Audience is used in the compliance scans of files in the project that don't have an audience of their own. A file's own audience always wins. New files added to the project also pick up the project's audience in their details. Changing project details doesn't re-scan files automatically, so re-run a scan on affected files if you need updated results.
Send files for approval
Upload or add all the files for the campaign.
Select the files on the project page.
Click Submit for Approval in the selection bar and follow the steps.
From a folder, you can also open a project card's ... menu and choose Submit for Approval to submit the project's files. If your approval flow has a Project Owner step, that step goes to the project's owner. Learn more in Get Content Approved.
Other actions on files
Select one or more files to use the selection bar: Scan, Re-Extract, Star, Edit Metadata, Submit for Approval, Permissions, Merge, Move, Download and, if you're allowed to delete files, Delete.
Project actions
Click the ... menu at the top right of the project page:
Rename
Move to Folder: move the project into a different folder.
Update Project Image: upload a PNG or JPEG to use as the project's thumbnail.
Download Project: download all of the project's active files.
Archive or Unarchive (see below).
Permissions
The Permissions section on the project page shows who can access the project. If you have admin access to the project, you can share it with users or groups and set their level (Can view, Can comment, Can approve, Can edit or Admin), create share links, and review the permission history. If you don't, you'll see Sharing is managed by admins. You can also open Permissions from a project card's ... menu in a folder. See Capability Role and Permission Behavior Guide for how access levels work.
The Activity section underneath lists recent activity on the project.
Archive a project
Choose Archive from the project's ... menu and confirm. Archiving removes the project from the active list and also archives the files in it.
To bring a project back, find it with the Archived status filter, open it and choose Unarchive. Unarchiving restores the project but not its files. To restore files, click Archived (N) above the project's files and choose Unarchive on each one. Restored files go back to Draft, so resubmit them for approval if needed.
Projects can be archived but not deleted.
Who can use it
You need permission to create content to make a project. Users with view-only access can open projects but can't edit details, add files or change the project. By default only admins can delete files, unless your company has allowed other users to delete.
Projects in Reach
Projects aren't used for social posts. If your company has older projects created for Reach, they appear under Reach Projects at the top level of All Social Posts.
