Create and Manage Groups

Bundle team members into groups to route approvals, assign roles and share access to a whole team.

Groups let you bundle team members together (for example, "Compliance Team" or "Mortgage LOB") so you can route approvals, grant roles and share access to a whole team at once instead of person by person. This article is for admins.

Where to find it

  1. Click Settings in the left sidebar.

  2. Under Members, select Groups.

You'll see every group with its status, member count and access level. Only administrators can create or change groups; anyone else sees a notice instead.

Create a group

  1. Click Create Group.

  2. Enter a Name (required) and an optional Description. Group names must be unique.

  3. Choose a Status: Active, Draft or Inactive. See "Pause a group" below.

  4. Optionally pick a Color so the group is easy to spot in pickers.

  5. Set the Access level. Leave it at No special role, or choose Admin to give every member admin access to the workspace.

  6. Optionally choose a Scan settings preset to limit group members to that one preset. Leave it at No restriction otherwise.

  7. Under Notifications, decide whether members should get Approvals emails when the group is a reviewer.

  8. Under Members, click Add, search for people and click each one to add them. Click Done when finished.

  9. Click Create Group.

Add or remove members

  • From the group: click the pencil icon on the group, then use Add in the Members section, or click the X next to someone to remove them. Member changes save straight away; click Save Changes for any other edits.

  • From the member list: in Settings → Members → Members, use the Groups column on a person's row (it says Add to group when they're in none) and tick the groups they belong in.

Pause a group

A group's Status controls whether it does anything:

  • Active: members get everything the group gives them.

  • Draft or Inactive: the group is paused. Members keep their place in it but get nothing from it: no roles, access, admin rights or approvals. Use Draft to set up a group and its members before switching it on.

Things to know when pausing:

  • If approvals are still waiting on the group, Warrant tells you how many and asks you to confirm with Pause group. Its members can't act on that work while the group is paused, so consider reassigning it first.

  • You can't pause a group that your own admin access comes from. Ask another admin to do it.

  • Approvals that reach a paused group notify nobody. When you switch the group back to Active, its members are notified about the work waiting for them.

  • If re-activating a group would give someone both Submit and Approve while Separation of duties is on, Warrant asks you to add a written rationale to their role assignment first.

  • A paused group can't be chosen as the new reviewer when reassigning approvals.

Where groups are used

  • Approval flows: in Settings → Company → Approvals → Approval flows, pick a group as an approver on any stage. By default, any one member of the group can approve for it. The stage's Group quorum setting lets you choose Any member or All members. All members only takes effect when the stage requirement is Everyone (AND); with Any One (OR), the first response completes the stage. See Create New Approval Flow.

  • Reassigning reviews: pending approvals can be reassigned or transferred to a group, and in the Approvals table view a group's review can be given to a specific member. See Review and Approve Content.

  • Roles: in Settings → Members → Roles, click Assign role and choose Group under Assign to. Everyone in the group inherits that role. See Managing Roles & Permissions.

  • Access to content: on a file's Access tab, or a project's or folder's permissions, you can search for and add a group as well as individual people.

  • Sharing reports and dashboards: when you share a saved report or dashboard, you can share it with people, groups or roles.

Delete a group

  1. Click the trash icon on the group.

  2. Click Delete Group to confirm.

Deleting a group removes it from every approval flow that references it and cannot be undone. If you might need it again, pause it instead.
