When someone submits content for approval and you're a reviewer on the current stage, Warrant puts it in your queue. This article is for approvers: how to find what's waiting on you, review it, and approve it or send it back with feedback. If you're the one submitting, see Get Content Approved.
Find what's waiting on you
Click Approvals in the left sidebar. The page has four tabs:
My Tasks: items where you're a reviewer on an open stage, plus your own submissions that came back as Changes Requested. Start here.
All Pending: everything currently in review across your workspace, including items waiting on other reviewers.
Expiring Soon: files whose expiration date is coming up soon. The badge shows how many.
History: approved, changes requested, canceled and archived items.
Next to the tabs, choose All, Library or Reach to show everything, only library assets, or only social posts.
Each card shows the approval flow, the version, who requested it and when, the compliance score, and the due date. If you were assigned through a group, the card says so (for example, Assigned via group "Compliance Team"). On items that aren't yours to act on, Waiting on shows who the item is with.
Filter, sort and change the view
Filters (funnel icon): Status, Approval Flow, Requester, Locations, Tags, Smart Tags, Folder, Product, Channel, Compliance Scan and Submitted Date.
Sort (arrows icon): Due Soonest, Due Latest, Submitted Newest, Submitted Oldest, or Compliance (Low to High / High to Low).
View: grid, list, Kanban or table. Table view isn't available on the Expiring Soon and History tabs.
Click Refresh to pull the latest status without reloading the page.
Your filters and sort are kept in the page address, so you can bookmark a view or share it with a colleague.
Review an item
On a card in My Tasks, click Review Request (or anywhere on the card). The asset opens in the viewer.
Check the content and its compliance findings. If the submitter left a note, it's shown on the card.
Leave comments where you need to. Use the Add comment button in the toolbar above the preview, or the Notes tab, and @mention people to notify them.
Make your decision from the bar at the bottom of the Info tab: Approve or Request changes.
Approve
Click Approve.
In the Approve Asset dialog, click Approve to confirm.
If the stage needs more than one person, it stays open until the remaining reviewers respond, and you'll see that you've already reviewed it. When the last stage is approved, the asset is fully approved. If other versions of the same asset still have open approval flows, Warrant offers to cancel them for you.
Request changes
Click Request changes.
In the Feedback box, describe what needs to change. Feedback is required.
Click Request Changes.
The whole approval moves to Changes Requested and the submitter is notified with your feedback. They upload a new version and resubmit, and the item comes back to reviewers. There is no separate "reject" action for assets; requesting changes is how you send something back.
Decide from the Kanban board
In Kanban view you can drag a card from In Review to Approved or Changes Requested. Warrant asks you to confirm, and requesting changes still needs feedback.
Reassign a reviewer
If a reviewer is out or the wrong person was assigned, the review can be moved to someone else while it's in progress.
Selected items: select one or more cards, then click Reassign Reviewer in the selection bar. Every pending reviewer slot in the current stage of those items moves to the new reviewer.
Everything from one person: click Transfer in the toolbar, choose who to Transfer from and who to Transfer to. This is handy for out-of-office coverage.
From the asset: admins can click Reassign in the approval section of the asset's Info tab.
You can reassign to a person or a group, and add an optional Reason. The reason is recorded in the audit trail and included in notifications. The previous reviewer and the new reviewer (or every member of the new group) are notified. Paused groups can't receive reassigned work.
In table view, people who can reassign can also use the Assignee column to give a group's review to a specific member of that group, and the Priority column to mark an item Low, Normal, High or Urgent.
Who can do what
Approve needs the Approve capability, and you must be a reviewer on an open stage.
Request changes needs the Review capability.
Reassign, Transfer, Assignee and Priority are for admins, or for anyone whose role includes the Reassign capability when capability permissions are on.
If your company turns on Separation of duties, you can't approve something you submitted yourself. An admin can override this with a written justification, which is logged.
See Managing Roles & Permissions for how capabilities are assigned.
Notifications
You get an in-app notification when something reaches your stage, when a review is reassigned to or from you, and when your own submissions are approved or need changes. Email for approvals is controlled under Settings → Personal settings → Preferences & notifications → Approvals. If you're reviewing as part of a group, the group's own Approvals notification setting also decides whether its members get the email.
