File Details Fields and Dropdown Options

Choose which built-in fields are required at upload, which fields are shown, and the shared values for Channel, Tags, Audience and Language.

Admins decide which details every file in Warrant records. On the Fields & option lists page you choose which built-in fields uploaders must fill in, which fields are shown at all, and the values people pick from for fields like Channel and Audience. This article covers those three settings. Custom fields you create yourself are covered in Add Custom Fields.

Where to find it

  1. Click Settings in the left sidebar.

  2. Under Company, select Fields & option lists.

You can also type a setting's name, such as "required" or "channel", into the Settings search box. Changes on this page save automatically.

Required at Upload

The Required at Upload card lists the built-in file details an uploader must fill in before a file can be created. Tick a field to make it required, or untick it to make it optional:

  • Description

  • Tags

  • Channel

  • Audience

  • Geography

  • Products

  • Language

  • Due Date

  • Publish Date

  • Expiration Date

When someone uploads a file, Warrant won't create it until every required field has a value. Custom fields have their own Required at upload checkbox, set on each field.

File Details Fields

The File Details Fields card controls which fields people see in the File Details step when they upload, and in the details on the file's Info tab when they view it. Use it to hide fields your team doesn't use so the form stays short.

  1. Find the File Details Fields card.

  2. Untick any field you want to hide. Ticked fields are shown. The fields you can show or hide are Description, Tags, Language, Due Date, Publish Date, Expiration Date, Channel, Brand, Audience, Products, Product Type, Specific Product, Geography and Custom Fields.

  3. To skip the details form at upload altogether, turn off Show File Details step at upload. The file's Info tab still follows the checkboxes.

Good to know:

  • Hiding a field hides it for everyone in your company. Any values already saved on files are kept, and they come back into view if you show the field again.

  • Custom Fields shows or hides your custom fields as a whole section, not one by one.

  • Fields marked Required at Upload always appear at upload, even if you've hidden them or turned off the File Details step, so uploads can't get stuck. If nothing is left to show, uploads skip the File Details step entirely.

  • Fields added to Warrant in future are shown by default.

Metadata dropdown options

The Metadata dropdown options card sets the shared lists of values for four standard fields across your files:

  • Channel: distribution channels, such as Email, Social Media or Print.

  • Tags: categorization tags for organizing files.

  • Audience: target audience segments.

  • Language: the languages your content is written in.

To manage a list:

  1. Type a value in the box under the field (for example "Add channel option...") and press Enter or click Add.

  2. Click the × on a value to remove it.

  3. Once a list has values, choose how strictly it applies with the Restrict to list only switch:

    • Off (the default): people can pick from your options or type their own value. When Warrant's AI suggests metadata, it prefers your values when they're relevant.

    • On: people must pick from your options only, and AI suggestions are limited to these values too.

If a list is empty, people type values freely. Your Channel and Audience options are also offered as choices when you scope a policy in AI Policies.

Who can use it

Only Admins and Super Admins can open Fields & option lists and change these settings. Everyone in your company sees the result when they upload and view files.
