Quick answers to common questions about exporting an asset's record, giving auditors a limited view, approval reporting, and finding every asset affected when a disclosure or rate changes.
How do I export the full record for an asset?
Open the asset and click Download. To export several assets at once, select them in a folder, project, Search results or the Approvals page and click Download in the selection bar.
On the Assets tab, turn on Include file details & activity.
Choose a Metadata format: XLSX, CSV or PDF.
Optionally turn on Include all versions to add every version's file.
Click Download with Details (or Download All if you included versions).
The export includes:
Details: the asset's metadata and custom fields.
Compliance Scans: every scan with its date, version, score, regulators, high, medium and low counts, and dismissed count.
Scan Findings: each finding's severity, location, regulator, policy, description and suggestion, whether it was dismissed, the dismiss reason, who dismissed it and when, and any comments on the finding.
Activity Log: dated entries with the person, covering submissions, each stage approval, change requests and their feedback, resubmissions and edits (the most recent 200 entries).
Approvals: every approval on the asset, including superseded ones, with status, requester, submitted and completed dates and the submitter's note.
Comments: each comment and reply with author, date, version, location, and whether, when and by whom it was resolved.
Choose XLSX or CSV for the complete record. Excel gives each asset its own sheet, plus a Summary sheet when you export more than one. The PDF is a readable summary that shortens long lists, for example the first 20 activity entries and the first 30 open findings.

Can we give an examiner or auditor a read-only view limited to certain folders?
Yes, by combining a role with access lists:
In Settings → Members → Roles, create a role with only View (for example "Examiner") and assign it to the person or to a group. This needs Enforce capability permissions on. Without Scan, Comment, Submit or Approve they can look but not change anything.
Open the permissions of each folder or project they should see and add them, or their group, with Can view.
Things to know:
Content with no access list is visible to every member. Folders the examiner should not see need their own access lists.
Searches, reports and exports only include files the person can open.
The Approvals page lists asset approvals across your workspace, so they will see the names and status of items in review elsewhere, although they can't open those files.
Admins and Super Admins always see everything, so don't give an examiner an admin access level.

Can we report on time spent in each stage, rejections and reviewer decisions?
Partly. Here is what is built in:
Dashboards: Time in state shows the average hours to first review, to approval, and in changes requested. Reviewer workload & SLA attainment shows each reviewer's open items and SLA attainment. Approval throughput, SLA compliance and the Breach log cover volume and timeliness. Filter by Reviewer, Product, Channel and date range.
Reports: the Approvals Log template lists approved and expired assets with Approved By, Approval Date and Approval Flow. Filter any report by the Changes Requested status to see what is currently sent back.
Warrant does not currently have a built-in report of time spent in each individual stage, how many times an asset was sent back, or each reviewer's approvals versus change requests. As a workaround, select the assets you want, click Download, turn on Include file details & activity and choose XLSX. The Activity Log for each asset has the date, time and person for every submission, stage approval, change request and resubmission, which you can total in a spreadsheet.

Can Warrant send scheduled exports to our data lake or warehouse?
Not today. Warrant does not run scheduled or automatic exports to other systems. You can export on demand and load the files yourself:
Save a report on the Reports page with the filters and columns you need, then run and export it as CSV, Excel (XLSX) or PDF whenever you need a fresh copy.
Use Download with Include file details & activity for scan, finding, approval and comment detail.
Use Download CSV on a disclosure's or library record's File Usage, and Export access review on the Roles page.

When a disclosure or rate changes, how do I find every asset that uses it?
Disclosures: in Brand Portal → Disclosures, open the disclosure and go to File Usage. It lists the files linked to the disclosure with their status, location and date. When you save a new version of the disclosure, files linked to an older version are marked Outdated. Use the search box to narrow the list and Download CSV to export it.
Rates and other library records: open the record from the Libraries tab of the Brand Portal and go to File Usage. It lists files that mention the record's name or one of its values, and Matched on shows which one it found (Name or Value). A use is marked Outdated when the record has expired or isn't in effect, or when the file predates the record's effective date. Because File Usage looks for the record's current values, a file that still quotes the old figure only shows up here if it also mentions the record's name.
Products: a product's File Usage marks a file Outdated when it matched on an alternative or deprecated product name.
To catch the old wording itself, use Search: set the scope to In File Content and put the old text in quotes, for example "4.25% APY". Add filters such as Status or Product, click Save Search to rerun it later, and select the results to download them or run a report.
