Brand Portal Libraries keep the approved facts your marketing team cites in one place: performance figures, rates, offers, trademarks, testimonials, partners or anything else that has to be quoted accurately. Each library has its own columns, and Warrant checks your content against its records automatically when you scan.
Where to find it
In the left sidebar, open Brand Portal.
Select Libraries (or All Libraries once you have some).
Each library you create also gets its own entry, with its icon, in the Brand Portal section of the sidebar.
Create a library
On the Libraries page, click New Library, or click one of the templates under Start from a template. Templates are available for:

Choose Blank library to define your own columns from scratch. The library builder then walks you through three steps. Nothing is saved until you finish, and Discard & exit leaves without creating anything.
What are you keeping track of? Pick a template and give the library a name and icon. The What it brings panel shows the defaults the template comes with: finding severity, whether expired records are flagged, whether claims with no record are flagged, and whether variants are on. For a blank library you can describe it in a line, and optionally drop a sample document (Excel, CSV, PDF, Word or text) so Warrant drafts the columns for you. Click Next: columns.
Columns. Every record already has a name, a summary, scope and dates. Add, remove or edit the columns on top of those, and choose a type for each (for example text, date, number or a dropdown). Open Advanced to change the AI check settings and the AI Prompt the checker follows.
Records. Optionally drop an Excel or CSV file to import records straight away, or skip this and add them later. Click Create to finish.
AI check settings
Each library has these settings, under Advanced in the builder:
AI check: when off, the library's records are stored but not checked against content.
Finding severity: High, Medium or Low.
Flag expired records: flag content that relies on a record whose expiration date has passed.
Flag records with no record: flag a fact of this library's kind that no record backs, such as a rate that isn't in your Rates library. (The label uses your library's own word for a record, for example "Flag rates with no record".)
Variants: allow approved variants of a record, for example an online-only rate or a business-customer offer. On by default for Rates & Pricing and Offers & Promotions.
To change these later, open the library, click the settings (gear) button and choose Library settings & fields.
Add records
Open a library and click Add (the button uses the library's own word, for example Add Rate). You can:
Upload a document or spreadsheet. A PDF or Word file is read by the AI, and a sheet with the library's columns imports as is. Click download the template for a sheet with the right headers.
Click A file in Warrant to have the AI read a file that is already in your library.
Click Describe it instead, type a sentence such as "Premier Savings 4.25% APY, effective Oct 1, expires Dec 31", and click Fill in.
Open the Manually tab to fill in the form yourself.
When the AI reads a file or description, you see Review extracted records. Untick any you don't want, expand a record to edit it, choose whether to attach the source to each record, and click Save.
To add or update many records at once, click Import on the library page and choose a spreadsheet. Warrant shows which rows are new, changed or invalid. Under When a row matches an existing record by name, choose Update it or Skip it, then import.
Import and export
Open the Download menu and choose Export all [records] (CSV) to export every record in the library, or Download template (CSV) for a blank sheet with the library's columns.
Click Import to add or update records from a spreadsheet, as described above.
A library's columns and settings can't be exported or imported as a file. For more detail, see Import and Export: AI Policies, Products, Disclosures and Libraries.
Record fields
Name (required), the library's own columns, and a Summary.
Effective and Expires dates, which drive the expiry checks and the Needs attention counts.
Enabled: when on, content that cites the record is verified against it.
Under Advanced options: the Products, Geography and Channel the record applies to, a Source URL, Checker instructions for this record, and Conditional logic.
View and edit a record
Click a record to open its detail page. It opens read-only. Click Edit to make changes, which save as you go, and Done when you're finished. On the record page you'll find:
The record's facts, scope and dates, and its AI check switch.
Approved Variants, when the library has variants on.
Conditional logic: IF/THEN rules that decide when the record applies, based on channel, geography, audience, product, brand, the content's text or the file name. Rules are checked top to bottom, and the first one that matches decides. If none match, the record's scope fields decide.
An AI check panel for this record, plus any Additional instructions.
Attachments, such as the study or rate sheet behind the record. Attached documents are used when content is checked against the record.
File Usage: the files that use this record.
Details and Activity: status, dates and a log of changes.
To retire a record, click Edit, then Archive. Click Restore to bring it back. In the library table you can also select several records to enable or disable them together.
Find records that need attention
The Needs attention strip at the top of a library shows how many records are Expiring within the coming days, Expired, Never checked by a scan or Flagged by a scan. Click a count to filter the table, and click it again (or All) to clear the filter. Use search, the column filters and Columns to narrow the table further.
How libraries are checked in scans
Every Library scan, Studio review and add-in scan checks content against your enabled library records. Findings are grouped under the library's name and can include:
A figure or claim that doesn't match its record. The finding shows the record's approved values and a View record link.
A claim that relies on an expired record.
A claim that no record backs (when that setting is on). The finding offers an Add to button that opens the library's Add dialog prefilled from the finding, so you can approve the fact in one step.
Approved variants and attached supporting documents are used in the check too.
Leave a library out of a scan
In the Scan panel, open Customize Results.
Under What to check, find Brand Portal Libraries.
Turn the switch off to skip all libraries for this scan, or leave it on and untick individual libraries in the list below it.
A library whose AI check is off in its own settings is shown greyed out with (off in library settings). It is not checked either way.
Who can use it
Anyone who can view the Brand Portal can browse libraries and records. Creating, editing, importing, archiving and deleting libraries and records is for admins and for users whose role includes Manage Brand Portal. Deleting a library stops its records being checked against content.
