You can move AI Policies, products, disclosures and Brand Portal library records in and out of Warrant with spreadsheets. Use import to set up many items at once or update them in bulk, and export to review them or keep a copy outside Warrant. This article covers where each option is, which files to use, and who can use them.
At a glance
AI Policies: export to CSV, blank template in Excel (XLSX), import from CSV or Excel.
Products: export to CSV, blank template in Excel (XLSX), import from CSV or Excel.
Disclosures: export to CSV, blank template in Excel (XLSX), import from CSV or Excel, or from a PDF, Word or text document.
Libraries: export to CSV, blank template in CSV, import from CSV or Excel, or from a PDF, Word or text document.
On each page, the Download menu at the top right holds both the export and the blank template, and the Import button sits beside it. Every import shows a preview before anything is saved.
AI Policies
Click Settings in the left sidebar, then under Compliance click AI Policies.
Export your policies
Open the Download menu and choose Export all policies (CSV). The file lists the policies in the table under your current search and filters, so adjust the filters first if you want disabled policies too. It includes both built-in regulations and your custom policies, with these columns: Policy Name, Regulator, Description, Summary, AI Prompt, When To Use, Severity, Enabled, Channel, Geography, Audience, Products, Type, Created At and Custom (Yes for your custom policies).
Download the import template
Open the Download menu and choose Download template (XLSX). The workbook has a Custom Policies tab to fill in, plus Instructions and Examples tabs. Its columns are:
Policy Name (required): matching is by name, so keep names the same when you re-import.
Description (required): what the policy requires.
Summary, AI Prompt and When To Use: optional, the same as when you create a policy by hand.
Regulator: your team's name or an agency. Defaults to Company.
Type: Company Policy, Regulation, Disclosure or Trademark. Defaults to Company Policy.
Severity: Low, Medium or High. Defaults to Medium.
Channel, Geography, Audience and Products: comma-separated values that scope where the policy applies. Leave blank to apply everywhere.
Enabled: Yes or No. Defaults to Yes.
Import custom policies
Click Import and choose a .csv, .xlsx or .xls file. If some columns aren't recognized, Warrant tells you which ones it ignored.
Check the number of rows found and click Continue.
Choose how to handle policies that already exist (matched by name against your custom policies):
Skip Existing: only add policies that aren't already there.
Update Existing: update policies with the same name and add the new ones.
Replace All: permanently delete all of your existing custom policies and replace them with the file. This cannot be undone.
Click Preview Import. Each row shows whether it is New, an Update or a Skip, and a Validation result. A row needs a Policy Name and a Description, Severity must be Low, Medium or High, and Enabled must be Yes or No. If any row has an error, fix your file and upload it again.
Rows marked as needing review have a Channel, Geography, Audience or Products value that Warrant matched to the closest option in your lists. Check them before you continue.
Click Import (the button shows how many policies will be imported).
Imported rows become your organization's custom policies. Built-in regulations are never changed by an import. To turn regulations on or off, use Add Regulations instead (see Set Your Compliance Scan Policies). If you re-import an export, delete the rows whose Custom column says No first, or they will be added as custom policies.
Who can use it: the AI Policies page is for admins. Only admins can import.
Products
In the left sidebar, open Brand Portal and select Products.
Export products
Open the Download menu and choose Export all products (CSV). This exports every product that matches your current search and filters, not just the page on screen. To export only some products, select them in the list and click Export. The file has these columns: ID, Level, Name, Alt. Names, Types, Status, Features, Parent Product, Description, Effective Date, Last Updated and Archived Date.
Download the import template
Open the Download menu and choose Download template (XLSX). Fill in one product per row on the Products tab:
Name (required).
Alternative Names and Types: several values separated by commas or semicolons. Wrap a name that contains a comma in double quotes. New type names are added to your company's product types.
Status: Active, Disabled or Archived. Defaults to Active.
Parent Product: the name or ID of the parent, for a sub-product. The parent must already exist or appear on an earlier row.
Description and Effective Date (YYYY-MM-DD).
Features: "Name: Description" pairs separated by semicolons, for example No monthly fee: Waived with direct deposit; Mobile deposit.
You can also add a Brand column with brand names to assign products to brands. A brand name Warrant doesn't recognize is ignored and reported after the import.
Import products
Click Import and choose a .csv, .xlsx or .xls file. Rows without a name, or with a status Warrant doesn't recognize, are skipped and Warrant tells you how many.
Under On duplicate (same name or ID), choose Update existing product in place or Skip: keep existing product unchanged, then click Continue to preview.
Check the preview (Name, Types, Status, Alt. Names, Parent Product, Features and Description). Click Change to go back to the duplicate setting.
Click Import (the button shows how many rows will be imported).
Warrant shows how many products were created, updated and skipped, and lists any rows that had issues. Products have no option to replace the whole catalog. To retire products, archive them in the list.
Who can use it: anyone who can view the Brand Portal can export. Downloading the template and importing is for admins and users whose role includes Manage Brand Portal. Learn more in Products in the Brand Portal.
Disclosures
In the left sidebar, open Brand Portal and select Disclosures.
Export disclosures
Open the Download menu and choose Export all disclosures (CSV). The export follows your current search and filters (the list shows Enabled disclosures unless you pick other statuses), or only the disclosures you have selected. It includes the columns currently shown in the table, so use Columns to choose them first. Variants are exported in Variant Text and Variant Tag columns.
Download the import template
Open the Download menu and choose Download template (XLSX). Fill in one disclosure per row on the Disclosures tab:
Name (required): matching is by name, so keep names the same when you re-import.
Status: Enabled, Disabled, Active, Expired or Archived. Defaults to Active.
Disclosure Text: the full disclosure copy.
AI Prompt, When To Use and Severity (Low, Medium or High).
Products, Channel, Geography and Audience: comma-separated values. Leave blank to apply everywhere.
Effective Date and Expiration Date (YYYY-MM-DD).
Variants: alternate wordings as "Label: Text" pairs separated by semicolons, for example Short: Investing involves risk.; Social: Investing involves risk. #ad
Variant Tags: one tag per variant, separated by semicolons and in the same order, for example Shorter; Social.
You can also add a Brand column with brand names. A name Warrant doesn't recognize is ignored and the disclosure applies to all brands.
Import disclosures
Click Import and choose a file:
A .csv, .xlsx or .xls spreadsheet is read row by row. Rows without a name, or with a status Warrant doesn't recognize, are left out.
A PDF, Word (.doc, .docx, .odt) or .txt document is read by Warrant's AI, which proposes the disclosures it finds. These are marked AI analyzed.
Under On duplicate (same name or ID), choose one:
Update existing disclosure in place
Skip: keep existing disclosure unchanged
Replace: delete all existing variants for matched disclosures first
Click Continue to preview and check the rows (Name, Status, Product, Channel, Variants and a preview of the text).
Click Import (the button shows how many rows will be imported).
Download where a disclosure is used
Open a disclosure and, in its File Usage section, click Download CSV to export the list of files that use it. Product and library record pages have the same File Usage download.
Who can use it: anyone who can view the Brand Portal can export. Downloading the template and importing is for admins and users whose role includes Manage Brand Portal. Learn more in Disclosures Library.
Brand Portal Libraries
In the left sidebar, open Brand Portal, select Libraries and open a library. Labels in a library use its own word for a record, for example Export all rates (CSV).
Export records
Open the Download menu and choose Export all [records] (CSV). The file has one row for every record in the library, whatever filters you have set, with its ID, name, status, summary, the library's own columns, scope, dates and source URL. You can edit the file and import it back. Records are matched by name.
Download the import template
Open the Download menu and choose Download template (CSV), or click download the template in the library's Add dialog. The template is built for that library, with one example row to replace. Its columns are Name, Summary, the library's own columns, Product, Channel, Geography, Audience, Effective Date, Expiration Date, Source URL, Conditional Logic and, when the library has variants on, Variants. Leave any column you don't need blank. Conditional logic and variants are easiest to set up on the record's page after the import.
Import records
Click Import and choose a file:
A CSV or Excel file whose header row uses the library's column names imports directly.
A PDF, Word or text document, or an Excel file that isn't laid out with the library's columns, is read by Warrant's AI. You then see Review extracted records, where you untick any you don't want, edit them and click Save.
A CSV with none of the library's columns can't be imported. Download the template and match its headers.
For a spreadsheet, Warrant compares each row with the records on file and shows how many are new, changed, unchanged and invalid. Changed rows show the old and new values.
Under When a row matches an existing record by name (the label uses the library's word for a record), choose Update it or Skip it.
Click Import. Unchanged rows are skipped automatically, and the button shows how many.
Library set-up
A library's columns and settings can't be exported or imported as a file. You set them up in the library builder. When you create a custom library, Start from a document? can draft the columns from a sample Excel, CSV, PDF, Word or text file, and a spreadsheet's rows are imported as records when you create the library. The builder's records step also accepts an Excel or CSV file. See Create a Custom Library.
Who can use it: anyone who can view the Brand Portal can export records and download the template. Importing is for admins and users whose role includes Manage Brand Portal. Learn more in Brand Portal Libraries.
Brands
The Brands tab in the Brand Portal has the same Download menu and Import button for brand names and descriptions. See Brands and Brand Guidelines.
Tips
Start from the template. It has the right columns and an Examples tab (or example row) to copy from.
Keep the column headers. Capitalization, spaces and underscores don't matter, but a column Warrant doesn't recognize is ignored.
Re-import to update. Export, edit the file, and import it with the update option. Keep names unchanged, because rows are matched to existing items by name (products and disclosures can also match by their ID).
Keep your data on the first tab. Only the first sheet of an Excel file is read.
Type dates as text in YYYY-MM-DD format.
Check the preview before you confirm, especially before Replace All on AI Policies, which cannot be undone.
