The Search page lets you search your whole library and narrow the results with filters, such as every approved PDF for one product, or every file waiting on a particular approver. You can save a search you use often and rerun it in one click. For search basics, such as exact-phrase searches with quotes, see Search.
Open the Search page
Click Search in the left sidebar, or
Type in the search bar at the top of any page (press Ctrl + K or Command + K to jump to it). After two or more characters a Best Matches list drops down. Press Enter or click View all results for "..." to open the full Search page.
On the Search page, the search bar filters the results in place as you type.
Search tips
When you type several words, Warrant returns items that match all of them, so more words narrow your results.
Type OR between terms (for example, mortgage OR heloc) to find items that match any of them. An OR search badge appears next to the result count.
Put a phrase in quotes to find that exact phrase.
Filter your results
Filters sit in a row above the results. Each one lets you pick one or more values.
Type: Projects, Folders, Files or Library records (Brand Portal records such as rates or testimonials).
Status: Approved, In Review, Draft, Changes Requested, Expired or Archived.
Tags: the tags used across your library.
Date: first choose which date to filter on: Creation Date, Expiration Date, Date Modified, Date Approved, Date Submitted for Approval, Due Date or Publish Date. Then pick a preset (Today, Yesterday, This Week, Last Week, Past 2 Week, This Month, Last Month, This Year, Last Year) or select a range on the calendar.
Click More for Additional Filters:
Locations and Smart Tags.
Owner, Approved By and Approval Flow.
Folder.
Product, Product Type, Specific Product and Product Level.
Channel, and Brand if your company has brands set up.
Disclosure and Library record, to find files that use a specific disclosure or Brand Portal record. These appear if you have access to the Brand Portal.
File Type: PDF, IMAGE, VIDEO, DOC, PPT or HTML.
Compliance Scan: choose Above or Below and enter a compliance score percentage.
Has Website URL: only files captured from a website.
Your company's custom fields, if any are set up. See Add Custom Fields.
Active filters appear as pills under the filter row. Click a pill to change it, click its x to remove it, or click Clear all to start over.
Sort and switch views
Use the Sort menu on the right to order results by Relevance (the default), Date Modified, Name, Submitted (Newest) or Submitted (Oldest).
Use the view buttons next to it to switch between grid view and list view. In grid view, results are grouped into Folders, Projects and Files, with Library records shown separately.
The count above the results shows how many matched. If there are more than fit on the page, you'll see Showing X of Y results; click Load More at the bottom to see the rest.
Work with the results
Double-click a result to open it. To act on several files at once, select them and use the selection bar at the bottom of the page: Scan, Re-Extract, Star, Edit Metadata, Submit for Approval, Move, Download and, if you're allowed to delete files, Delete.
Save a search
Run your search and apply at least one filter. A Save Search button appears next to Clear all.
Click Save Search.
Give it a name you'll recognize, such as Approved PDFs this month.
Click Save.
A saved search keeps your search text, your filters and your date range. It doesn't keep the sort order or the view.
Use, change or delete a saved search
Run it: saved searches are listed under Search in the left sidebar. Click the arrow next to Search to expand the list, then click a saved search to open the Search page with its filters applied. Results are always up to date, so new files that match appear automatically.
Change it: saved searches can't be edited or renamed. Run the saved search, adjust the filters, save it under a new name, then delete the old one.
Delete it: hover over the saved search in the sidebar and click the x (Delete saved search). It's removed straight away, without a confirmation.
Who can use it
Everyone can search, filter and save searches. Saved searches are personal: they appear only in your own sidebar and can't be shared with teammates. To share a set of results, copy the Search page link from your browser's address bar; it includes your search text, filters and sort. Anyone who opens it sees only the items they have access to.
Search only returns items you have permission to see, so two people running the same search can get different results.
